Before implementing QRmaint, Marmite struggled with the maintenance challenges typical of large manufacturing plants. The biggest problem was ineffective communication. As Klaudia Mielczarek, Operations and Facilities Maintenance Specialist at Marmite, emphasizes, exchanging information between the production and maintenance departments posed a significant challenge. Confirming the completion of maintenance and repairs – particularly crucial for audits – also presented difficulties. Managing breakdowns and faults throughout the plant was problematic due to communication issues.
Another barrier was the lack of a centralized data collection system. Information regarding machines, inspections, and repairs was scattered and mostly stored in MS Excel spreadsheets. This workflow hindered quick access to current data and accurate decision-making.

In the past, Marmite had used a CMMS system from another vendor, but this system proved unsuccessful due to limitations and an unintuitive, cumbersome interface. As Klaudia explains, the previous solution was too cumbersome to use and did not support effective management of the organization or the maintenance team.
The key challenges faced by the Marmite team included:
- Lack of a system for handling requests – lack of a tool for registering and monitoring service requests.
- Problems with task planning – lack of a standardized approach to assigning and automating maintenance tasks.
- Limited team mobility – lack of access to information and reporting capabilities in the field.
- Scattered device data – no centralized database containing specifications, service history and machine location.
- Limited transparency of maintenance activities – lack of full insight into current work and the technical condition of machines for management staff.
- Ineffective reporting – inability to generate detailed reports on failures, downtime or work efficiency.
