Effective service management – Mr. Tomasz, who has long been responsible for managing UR employees, coordinating the work of service technicians out of necessity, has long noticed that supervision over inspection schedules and quick response to faults are key elements of effective maintenance. Until the implementation of the QRmaint CMMS system, notifications were communicated via WhatsApp, which meant that many notifications were not completed because they were lost in the thicket of messages.

The QRmaint CMMS system, which was implemented in the network of facilities belonging to Piekarnia Bartkowscy, allowed us to focus on what is most important. In this context, we could say that it is mainly about communication and notifications regarding the removal of faults.
Although the system offers the possibility of generating detailed reports, the bakery and confectionery administration focuses on ongoing monitoring of the status of reports. Regular reviews of the problem list allow us to quickly identify and solve faults. This is something that translates into minimizing downtime and increasing the satisfaction of our customers.

Improved communication and information flow: The system created a central place to collect information about faults and device locations, which facilitated communication between employees. It also enabled a rapid flow of information, especially between technicians and store staff, which is crucial for companies with multiple locations. It is also worth noting that QRmaint provided a simple and effective way for store employees (signalers/salespeople) to report problems, eliminating the need for time-consuming phone contact.
Previously, due to the lack of precise information, we experienced significant difficulties in determining the exact location of individual devices and their current repair status. This lack of knowledge led to delays and inefficiencies. Implementing the QRmain system with status tracking enabled us to gain full control over these aspects. Now, with a few clicks, we can immediately determine where a device is and at what stage of its repair.

Improved task management and tracking: The system made it possible to track the progress of work, tasks and their completion. This in turn provided insight into whether tasks were started and completed. There is also no doubt that it eliminated the problem of lack of knowledge about the status of repairs and task completion. This was a factor that eliminated the need for constant calling to obtain information.
The implementation of the QRmaint system significantly increased employee engagement. Providing an intuitive tool for reporting issues and monitoring their status made it easier for each employee to participate in the fault management process. Each employee gained the opportunity to actively participate in identifying and resolving issues, which directly translated into an increased sense of responsibility and improved overall operational efficiency. Previously, we used the WhatsApp platform to report and resolve faults, which led to significant information chaos. Key data and conversations often got lost, which made it difficult for us to effectively manage issues. Transferring this process to the QRmaint system turned out to be a breakthrough solution. Each fault now has its own dedicated conversation, which provides us with transparency and order in communication. Thanks to this, we have full insight into the history of each case and can track the progress of work in an organized manner.

Our goal is to extend access to important system functions to a wider group of employees, especially in the context of monitoring temperatures in cold stores, which is crucial for compliance with HACCP requirements. However, we need to find a solution that will not generate excessive costs related to the need to grant managerial rights to everyone. We are looking for an effective way to allow employees to record temperatures on an ongoing basis, while maintaining control over the budget. I assume that we can use the QRmaint system for this. As for QRmaint, if I talk to someone, I would definitely recommend this system, because it helped me, so I can’t say that it is helpful.
