Before QRMaint was deployed at seven Austrian DHL Express hubs, the work of 12 technicians was like constantly “putting out fires.” As Sandro Vanko recalls, preventative measures were practically nonexistent – ​​the team only responded when a failure occurred.

“We were working with A4 sheets of paper prepared by the system integrator. These sheets were constantly getting lost in binders – when someone needed them, they were never found. Our spare parts warehouse was also incredibly chaotic. After conducting an inventory, it turned out that due to repeated, mistaken orders, we had a stockpile of some sensors for the next 20 years!”

The lack of repair records meant that crucial knowledge about the machines remained solely in the minds of employees. In such a time-sensitive industry as logistics and parcel sorting, this prevented effective cost planning and work optimization.

Digital revolution in three weeks

After extensive testing, DHL Express chose QRMaint, which offered the best price-to-feature ratio and the most intuitive user interface. The implementation process itself took just three weeks . During this time, the team:

Artur Czachor zaznacza, że wdrożenie systemu CMMS nie musi oznaczać paraliżującego i drogiego projektu IT. QRMaint proponuje elastyczne podejście:

The biggest challenges were working in a reactive “firefighting” mode (lack of preventive measures), paper inspection sheets disappearing into folders, and massive chaos in the spare parts warehouse. This lack of control even led to a situation where, due to duplicate accidental orders, the team accumulated a 20-year supply of certain sensors.

The implementation took only 3 weeks. During this period, the team of 12 technicians photographed, categorized, and counted around 7,500 spare parts, and logged over 1,200 assets (machines and equipment) into the system, tagging them with physical QR codes for instant smartphone access to documentation.

It is a feature that allows any employee in the company to report a fault completely free of charge and without limits. The employee does not need a full technical account—they simply scan a QR code located at the site of the issue (e.g., on a leaking roof or a broken machine) with their smartphone and fill out a reporting form within a minute, sending it directly to the maintenance department.
