CMMS implementation in the manufacturing industry: our customers’ success stories

In the manufacturing industry, the stability of machinery and equipment is crucial to the success of the company. This is especially important in the case of complex and expensive devices that operate in automated technological lines. Therefore, maintenance services play an extremely important role.

Over the last decades, the approach to maintenance has evolved – from a narrow approach to solutions focused on maximizing the use of machines and devices. In this article, we focus on the successes of CMMS implementations in the manufacturing industry. We will discuss, among others, reports from the implementation of the QRmaint CMMS system in companies such as Wipasz, Valvex, Rzeźnia Drobiu Konkol. See for yourself how the CMMS system has changed the face of operational activities in these companies, reducing the number of unplanned downtimes and bringing dozens of other benefits.

Performance indicators in maintenance departments

Before we move on to a more detailed description of the experiences of companies that have successfully implemented the QRmaint CMMS system, it is worth spending a few words on what is really important for maintenance departments.

Therefore, in the pursuit of excellence in the area of maintenance, the concept of Total Productive Maintenance (TPM) plays a key role. There is no doubt that it is a proven methodology around the world, which focuses on the involvement of all employees in building an effective prevention system. It affects the systematic reduction of losses through solving problems and standardizing processes.

Unlike the traditional preventive approach, TPM assumes that the comprehensive involvement of the entire staff is the foundation for achieving high efficiency. The TPM process can be successfully implemented through the use of the CMMS system.

CMMS systems support the planning, organization and monitoring of maintenance activities. They contribute greatly to improving efficiency and reducing costs. However, selecting and implementing a CMMS system in an enterprise involves specific challenges that must be considered to ensure successful implementation. This is exactly what we are talking about using the example of three companies selected by us from over 500 clients worldwide.

CMMS implementation at Valvex

The implementation of the QRmaint CMMS system at Valvex , a leading Polish manufacturer of valves, was a strategic step towards streamlining maintenance management. The QRmaint system was appreciated by Valvex experts for its intuitive operation and flexibility in adapting to the specifics of Valvex’s production processes. Within almost a year of implementation, the company experienced significant benefits. Mobile access to the system allowed staff to monitor the condition of devices and plan repairs from anywhere, and the remote notification system improved response to failures and maintenance planning. Communication between the maintenance and production teams improved, and integration with the supply department optimized spare parts management. Importantly, the prospect of integration with the SAP ERP system opened the way to even more centralized management.

Often, in large numbers, it happened that we had many things in definitely too large quantities. If someone could not find a part in the warehouse, we bought new ones. Then we generated unnecessary costs. The second thing, when it comes to the warehouse – in a situation where we have a description of the parts and have them catalogued in the program, there is no problem in buying exactly the same ones. You do not have to look for them anywhere. They are saved in the program (editor QRmaint), we have a marked link in the warehouse file or we have a link to the manufacturer who made it for us. Not to mention that if someone made an electrical cabinet or anything of the kind for us, we also have it catalogued and we know what is in that cabinet.

CMMS implementation at Wipasz

Long-term cooperation with the QRmaint team in Wipasz resulted in an extremely successful implementation of the CMMS system, which from the very beginning was characterized by dynamic development and a wealth of intuitive functions, which made adaptation to continuous improvements surprisingly smooth. The ease of use of the extensive system, including the mobile application, was appreciated by all staff, regardless of age. Thanks to the automation of key maintenance processes, such as prevention management or parts warehouse, improvements in the company were quickly noticed. The QRmaint system turned out to be an invaluable tool in diagnosing devices, preparing for audits and analyzing costs. It was also important that the possibilities of integration with other IT systems fit into the assumptions of Industry 4.0. Thus, making the implementation a real success and setting the QRmaint company as a model in the industry.

CMMS implementation at the Konkol Poultry Slaughterhouse

The implementation of QRmaint’s CMMS system at Konkol Poultry Slaughterhouse proved to be a key success factor in optimizing maintenance management, which in the food processing industry with narrow margins translated into a significant reduction in downtime costs and improved production continuity. By introducing precise monitoring of even micro-downtimes, simplifying reporting of faults via a mobile system, the company gained tools for quick response to failures and identifying bottlenecks.

In addition, the system enabled efficient management of the spare parts warehouse and the use of QR codes for machine identification, which will further streamline maintenance activities on both production floors in the future, making the implementation of QRmaint a strategic investment in the company’s efficiency and profitability.

The environment of our industry is difficult, very demanding, which is why the QRmaint CMMS system helps us to eliminate failures faster. Up to a certain stage we work with live animals, so it is not a typical raw material for production. Therefore, in order to maintain the freshness of the products we have to eliminate failures quickly and effectively.

FAQ

The implementation of a CMMS system, as shown by the examples of Valvex, Wipasz and Rzeźnia Drobiu Konkol, translates into many key benefits. First of all, the number of unplanned machine downtimes is significantly reduced by streamlining maintenance planning and faster response to failures. Companies experience better organization of the maintenance department’s work thanks to mobile access to information and remote notifications. Spare parts warehouse management is also optimized, reducing costs related to excess stock or shortages. Additionally, CMMS systems facilitate the diagnosis of problems, preparation for audits and analysis of maintenance costs, which ultimately leads to increased production efficiency and profitability.

Much depends on the specifics of the company and the selected CMMS system. However, as the experience of QRmaint customers shows, this system is characterized by intuitive operation and flexibility in adapting to individual needs. Wipasz emphasizes the smooth adaptation to continuous improvements, and Valvex appreciated the ease of use even for less technically advanced employees. A well-planned implementation process, support from the system provider and the involvement of the maintenance team are key to an efficient and quick implementation, allowing for quick reaping of benefits from the system.

The CMMS system is a key tool in implementing and maintaining the TPM concept. It enables systematic planning and monitoring of preventive actions, which are the foundation of TPM. With features such as maintenance scheduling, failure ticket management and downtime root cause analysis, the CMMS system supports the involvement of all employees in identifying and solving problems. It facilitates the standardization of maintenance processes, tracking repair history and analyzing machine performance data (e.g. OEE), which is essential for continuous improvement and loss reduction in the spirit of TPM.
